Executive Assistant


About PullUp: PullUp is an independent music management company founded in 2008 in Copenhagen. Today, working mainly out of Berlin and New York, PullUp manages a small but mighty slate of artists and labels. 


Job Description: The Executive Assistant (EA) will be responsible for supporting PullUp’s founder/president, providing comprehensive administrative and operational support with day-to-day and long-term tasks. This role requires excellent communication skills and organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously. The EA should be a proactive individual with strong skills in prioritizing, organizing, and establishing administrative procedures.


Responsibilities:


  1. Manage founder and artist calendars, including scheduling meetings, appointments, and travel arrangements across multiple time zones.
  2. Coordinate and prioritize daily tasks, ensuring vital tasks are completed even while other demands may emerge.
  3. Assist in managing the founder’s email inbox, responding to messages on their behalf and drafting responses as needed.
  4. Assist with all elements of artist campaigns, including global release schedules, promo, social media plans, press, marketing and touring.

  5. Submit and ensure timely processing of tour budgets and reports, label royalty statements and execute other accounting tasks.
  6. Assist with funding applications and fundraising.
  7. Assist with project management and follow up on outstanding tasks and deadlines.
  8. Prepare and edit documents, presentations, and reports as needed.
  9. Organize and maintain files, records, and databases.
  10. Handle confidential information with discretion and professionalism.
  11. Perform other administrative and support duties as assigned.


Details:

  • This is a part time freelance position with an hourly wage of €20. 
  • This position expects a commitment of 10-15 hours a week.
  • Work remote from anywhere in Europe (or similar time zone) - being based in Berlin is a plus but certainly not required.
  • English fluency required.


Qualifications:

  • Experience in providing administrative support, with a preference for those who have worked in artistic fields, although this is not a requirement.
  • Strong proficiency in or working knowledge of Google Docs and Google Sheets.
  • Familiarity with or willingness to learn Master Tour.
  • Basic accounting experience.
  • Excellent written and verbal communication.
  • Excellent organization and time management skills.
